The Challenge

Delivering that vision for more than 2,000 attendees required overcoming several significant challenges.

The host property presented operational complexities, particularly around guest arrivals and transportation flow. Extended hotel check-in delays created a less-than-ideal arrival experience that required constant coordination between hotel operations, transportation teams, and attendee management staff.

During the planning process, rapidly rising airfare costs driven by geopolitical events placed unexpected pressure on the travel budget. With thousands of flights to manage, maintaining financial targets without compromising the attendee experience became a critical priority.

MGME deployed a fully integrated event management strategy, combining strategic planning with operational excellence across every attendee touchpoint.

Leveraging MGME's proprietary Air Logic™ travel management solution, the team successfully managed complex air travel logistics while adapting to volatile airfare pricing and protecting the overall program budget.

From registration through departure, MGME managed attendee communications across two event waves, designing custom registration websites, building a branded mobile app, coordinating travel, managing room assignments, overseeing transportation, and responding to every attendee inquiry throughout the event lifecycle.

Onsite, the team maintained continuous coordination across transportation, hotel operations, production, food and beverage, activities, and executive services to ensure a seamless guest experience despite evolving operational challenges.
